The conference is over, but the press release and the posts are needed now. In the folder there is a speaker blocking his own slide, a half-empty hall shot during the break, and not one frame of the partner's stand — the partner who paid for that stand. There is no reshoot: the conference lasted one day.

I ask for the programme in advance and know before the doors open what has to be covered: the keynote talks, the full hall, the networking, the partner branding and the parallel workshops. About 100 photos per hour shot, the full set within 7 days, commercial rights and an invoice to the company.

I have photographed GAIA 2026 at Svenska Mässan with 1,250 participants and the Gothenburg Symphony's Side by Side music camp — over 2,000 participants and 11 stages. Below is what to go through with the photographer before the day, so the photos actually exist afterwards.

The programme and key moments

Send the programme in advance and mark what cannot be missed: the opening, the keynote, an award, a signing, the group photo. If two key moments overlap in different rooms, we solve it before the start, not on the run.

Also ask for a list of VIP guests and partners with photos, so the right people are sure to be in the frame.

Speakers on stage

Stage lighting, a bright screen behind the speaker and a lectern make speakers harder to photograph than it seems. I shoot from several spots: a close-up of face and gesture, a medium shot with the slide, a wide shot with the audience.

I move around the room quietly and never block the stage. That matters to speakers as much as to the audience.

The room and the audience

A full room and engaged faces are the best proof that the event worked. You need these shots to announce next year’s conference and to report to partners.

I capture reactions during the talks: questions from the floor, laughter, applause, notes being taken.

Networking and coffee breaks

The liveliest shots happen between sessions, not in the hall: introductions, conversations at the high tables, business cards changing hands. People are relaxed and look natural.

These photos work well on LinkedIn and on a careers page: they show the atmosphere, not just the stage.

Brand and partners

Logos on the press wall, a branded stage, partner stands — all of it should appear in the frame neatly and legibly. Partners usually want to show that their brand was visible at the event.

Tell me in advance whose brand matters, and I will shoot a separate series for each partner.

Workshops and smaller sessions

Workshops look nothing like the main stage: small groups, laptops, discussions around the tables. Here I get close and photograph people working together.

If workshops run in parallel in several rooms, we plan in advance which rooms and time slots matter most.

Example: GAIA 2026 at Svenska Mässan

The Gothenburg AI Conference GAIA 2026 took place at Svenska Mässan on 20 April 2026 with 1,250 participants. The next day, 21 April, was a workshop day.

I photographed the stage, the packed hall, networking, the partner areas and the workshops, as well as the organising team on stage.

Expect around 100 edited photos per hour. The full set is delivered within 7 days, in formats for the website, social media, print and press.

I invoice your company, and commercial use of the photos is included. I can work under an NDA if needed.
