Conference Photos After the Event

← blog

The conference is over, and the marketing team’s work has only just started: a press release, posts, thank-yous to speakers, a report to partners, and soon a page selling next year’s tickets. All of it needs photos. The hard part is that you only notice which photos are missing when you sit down with the text — and by then there is no reshoot.

That is why it pays to start from the end: think through what the photos will be used for before the conference begins, and shoot for that. Then there is the right photo for every channel, in the right format, within 7 days — and commercial use is included.

The examples below are from GAIA 2026 at Svenska Mässan: 1,250 participants, three tracks and a workshop day. How the shoot itself is planned is covered in the article on conference photography; this one is about what happens afterwards.

Start from the end: where will the photos appear?

Make a short list before the conference: the website, the press release, LinkedIn, the newsletter, the partner report, next year’s ticket page. Each channel needs different photos — a wide shot of the hall, a portrait of a speaker, a picture with a partner’s logo.

Send me the list, and I will shoot for it, not just for whatever happens to look nice.

The press release and the news story

A press release needs one photo that says it all: the conference is big and people are engaged. A full hall, ideally with a reaction — hands in the air, laughter, applause — works better than a speaker alone on stage.

Newsrooms want high-resolution landscape photos, and they want them the same week.

Speakers and LinkedIn

Speakers are the conference’s best channel. Give them a good photo of themselves on stage and they almost always share it — and the event reaches their followers for free.

Send each speaker two or three photos with a ready text and tags. It is one of the cheapest marketing moves you can make after a conference.

Partners and exhibitors

Partners who paid for a booth want to see that it paid off: people at the booth, conversations, the logo in the frame — and an audience laughing and taking notes during the talks. Faces convince more than numbers. The photos become part of your partner report and an argument when you sell partnerships next year.

Details and branding

Badges, lanyards, signs and stage graphics are small pictures, but you need them everywhere: behind quotes, in headers, on the ticket page. They make all the material look like it belongs together.

Next year’s conference

The most important use comes months later: the page where next year’s tickets are sold. There, photos from this year say more than any text — full halls, applause, people having a good time.

That is why it helps if the photo set covers the whole day, not just the opening.
